Sales pipeline: how to fill it and keep it full
· Strategy · 6 min
A pipeline that empties faster than it fills is every sales team's nightmare. Yet many companies only worry about their pipeline at quarter-end, when it's too late. Filling and maintaining a healthy pipeline is a daily discipline. Here's the method.
Filling the pipeline: a volume question
A pipeline empties naturally as deals close or get lost. To keep it full, you need a steady inflow of qualified opportunities — which means continuous prospecting, not bursts of activity. Calculate your required inflow from your revenue target, average deal size and conversion rate, then work backwards to the weekly meeting volume needed.
This calculation rests on achievable sales goals (in French) and a clear view of your conversion rates at each stage.
Structuring the stages
A good pipeline has clear, measurable stages: qualified lead, discovery meeting, proposal, negotiation, closed. Each stage needs explicit exit criteria — what makes an opportunity ready to move on. Vague stages produce unreliable forecasts and deals that stall forever.
The entry stage feeds directly from your prospecting funnel (in French): the two must be aligned on the same qualification criteria.
Maintaining the pipeline: cadence and cleaning
A pipeline left unattended rots. Schedule a weekly pipeline review: advance stuck deals, kill dead ones, and re-estimate close dates. Keeping opportunities that will never close inflates your forecast and hides the real situation. A clean, honest pipeline is a predictable pipeline.
- How full should a pipeline be?
- As a rule of thumb, 3x your quarterly revenue target, given average conversion rates. Below that, you'll have gaps; well above, your qualification is probably too loose.
- When should you remove a deal from the pipeline?
- When it no longer meets the stage criteria, the prospect has gone silent beyond your follow-up limit, or the need has disappeared. Keeping dead deals only distorts your forecast.
