Phone follow-up: when and how to call a prospect back
· Cold-Call · 5 min
Most prospects don't say no — they go silent. The follow-up call is often what turns a dead lead into a meeting. But calling back too soon, too often or with nothing new to say does more harm than good. Here's when and how to call a prospect back.
When to call back
Space out your attempts: 2 to 3 days between the first and second call, then a week, then longer. Calling every day reads as harassment and gets you blocked. Vary the time of day too — a prospect unreachable in the morning may pick up after 4pm. Three to five attempts total is a reasonable ceiling before moving on.
This cadence fits into a broader cold call routine that balances volume and persistence.
What to say on a follow-up
Never call back with "I'm just following up" — it adds nothing. Each callback needs a reason: a new insight about their situation, a relevant trigger (funding, hiring, news), or a concrete value proposition tied to their context. Give the prospect a reason to engage this time, not just a reminder that you exist.
If you can't reach them, a well-crafted commercial voicemail can prompt a callback — but only if it's short and gives a clear reason.
Knowing when to stop
Beyond 5 attempts with no response, the cost of persistence exceeds the expected return. Park the prospect for a few months and re-engage when a new trigger appears. Knowing when to stop is as important as knowing when to call — it protects your time and your image.
- How many follow-up calls before giving up?
- Generally 3 to 5 attempts, spaced out. Beyond that, the return drops sharply. Better to pause and re-engage later when a new trigger justifies a fresh approach.
- Should you leave a voicemail on every callback?
- No. Leave one voicemail early in the sequence with a clear reason, then keep calling without leaving messages. Too many voicemails feel intrusive and rarely increase callback rates.
